Create a new record

When creating a new record for an arXiv paper, use the OAI harvesting interface or the Labs submission form. This way the record goes through the same workflow as other automatically ingested articles; automatic processes like plot extraction and pdf upload are triggered and some specific metadata are automatically added. You can also use the OAI harvesting interface for papers in CDS.

Never create a new record for an arXiv paper via Bibedit.

If you’re creating a new record for anything other than an arXiv paper, follow the instructions below.

Use the Labs submission form if automatic processes like keyword extraction should be run, or if a physicist should look at it for subject classification and core tagging. If in doubt, the submission form is the best tool to use.

Otherwise, to create a new record in bibedit, click the first icon next to the word ‘Record’ in the navigation box to the left.

From here you can create a new record by importing metadata from a DOI.

Paste the DOI in the available field and press the ‘Enter’ key to import.bibedit5

You can also choose from a variety of record templates that include MARC fields relevant to each type of record.

The 980 fields that identify the record type and collection (Published, HEP) will already be entered based on the template you choose.

If you want to create a record that shares much of the same metadata or fields with an existing record, you can open the record you’d like to copy and click the second icon to the right of the word ‘Record’. It looks like two pieces of paper.

Only use the clone feature in exceptional cases, and make certain that you remove record specific information from the new record, e.g. TeXkey, OAI fields, other system IDs, etc.
